• What is the difference between groupware and a normal email service?

  Groupware describes a system for collaboration within a team. Groupware therefore covers not only email but also other services that are important for effective collaboration: calendars, tasks, resources (such as rooms, vehicles or equipment), notes, contacts, groups and chat.

  In many companies, information is not edited and used jointly but forwarded. This wastes resources and therefore time and revenue. In a groupware, all areas can be shared with other users or groups with different access rights and edited together. Groupware lets you optimise your workflows.

• Where are the emails stored?

  walkingtoweb operates exclusively its own infrastructure in a high-security Swiss data centre. All data is stored solely and exclusively in Switzerland. No work is outsourced – we also rely on our own staff for customer support.

  walkingtoweb complies with all Swiss data protection regulations and therefore also with all data protection regulations applicable in the EU / DE / AT, including the GDPR. We have repeatedly passed several compliance audits by customers in the financial, medical and public administration sectors.

  We hold the Swiss Hosting label, which verifies the highest standards of data security.

• Can I use 2FA?

  Yes, two-factor authentication (2FA) greatly increases the security of your email. We generally recommend enabling this security feature.

  For configuration, you need a 2FA app on your mobile phone to generate a real-time token.

• Can mailboxes and calendars be shared?

  Yes. You can use the email cloud in webmail or integrate it into your local email apps via IMAP. Each mailbox can be used jointly from any number of devices.
  Via webmail, you can also share individual folders or subfolders with other email accounts. This allows several people to read and reply to emails. Thanks to the IMAP protocol, sent emails are also synchronised to all devices.

• How many email addresses can I use?

  The basis of the email groupware is the mailbox. A mailbox is, for example, a person for whom a mailbox is created. You can assign any number of email addresses to each mailbox. If you have assigned several domains as alias domains, this account can receive emails for all of these domains.

  In addition to mailboxes, there are groups. Emails to a group are forwarded to the defined mailboxes. A group does not use up a mailbox, and you can create as many groups as you like.

  If a mailbox is deleted, e.g. when an employee leaves the company, you can create aliases. An alias is a forwarding address and can be used, for example, for deactivated email accounts to forward emails to another mailbox. You can create as many aliases as you like.

• Can I use IMAP and POP3 in parallel?

  Yes, you can access a mailbox with all connection types (IMAP, POP, webmail) at the same time.
  To be able to use the same data on all devices, we recommend IMAP.

• Are backups of the email servers created?

  Yes, we back up all virtual servers to two separate backup systems. We apply the following backup rules:

  • Backup of all servers: 14 days, 1 x per day
  • Backup of all servers: 4 weeks, 1 x per week
  • Backup of all servers: 3 months, 1 x per month

• Can I transfer an on-premises Kerio Connect server to walkingtoweb?

  Yes, we can take over existing email servers based on Kerio Connect 1:1, including licences and directories. The migration can be carried out either as a copy or as an import; please contact our sales team for a detailed assessment.

• Can I set up an out-of-office message?

  In webmail, open the Out of Office menu at the top right and enter a message there, which is sent once to each sender during the defined period.

• Is delegation possible, e.g. for scheduling?

  In the Settings / Delegation menu, you can define colleagues who may edit your calendar on your behalf (important for invitations) or reply to emails in your inbox on your behalf. You can grant these rights either for the entire account or only for individual folders / calendars.

• What limitations are there?

  With Email Cloud Shared, emails including attachments of up to 100 MB are possible.
  For private email cloud servers, we recommend an email size limit of 200 MB.

  The number of stored emails (and events) is limited only by the storage size. Storage is specified per mailbox and you can distribute it freely between all mailboxes yourself.

  Up to 500 emails per hour can be sent from one IP address.
  For business customers with several workstations, a higher limit can be set on request.

  To optimise the performance of the email server and the clients, a folder should not contain more than 10,000 emails. Please note that the Inbox and Sent Items folders are constantly synchronised and indexed. These folders should therefore not exceed the recommended number of emails.

• Does walkingtoweb manage the DMARC, DKIM and SPF records?

  For all domains managed by walkingtoweb, we also take care of managing the DMARC, DKIM and SPF records for you. If DNS management is not handled by walkingtoweb, you will need to make these changes with your DNS registrar.
